The European Molecular Biology Laboratory (EMBL) is an international scientific research organization consisting of a headquarters laboratory situated in Heidelberg Germany and four Outstations. The EMBL Outstation in Grenoble has about 85 people and an active research programme in structural molecular biology. It shares a common site with the European Synchrotron Radiation Facility (ESRF) and the Institut Laue Langevin (ILL).

The Outstation in Grenoble is seeking to recruit a Senior Administrative Officer to head the administrative team of 3 staff at the outstation (liaison, purchase and administrative officers). The Senior Administrative Officer is responsible for the management, administration and delivery of all administrative services at the outstation and ensures that they are accomplished in an effective and efficient manner and within all legislative, policy and procedural guidelines. S/he will report to the Head of the Grenoble Outstation and be working very closely with the central units under the Administrative Director at EMBL main Laboratory in Heidelberg, Germany.

Responsibilities

The main duties/responsibilities include:

  • Provide guidance, performance evaluation and supervision to administrative staff;
  • Oversee and report on the budget and other administrative matters;
  • Oversee purchase and manage the inventory of consumables and equipment;
  • Assure effective administration of external grants, notably those from the EU and the French ANR;
  • Assure the effective administration of service, maintenance and insurance contracts;
  • Assure the effective and timely organization of local scientific and management meetings, including the travel arrangements for staff and visitors;
  • Assure the support of the recruitment process by organizing interviews;
  • Advise staff members and newcomers on personnel matters;
  • Liaise with the ESRF and ILL on administrative matters of joint concern (for example bilateral contracts, common social services, Partnership for Structural Biology);
  • Liaise with the relevant French authorities to assure an effective communication and collaboration;
  • Manage further administrative projects as assigned.

Experience Required

Applicants should have a relevant university degree and at least five years of experience in an administrative position in an international environment with a similar scope of responsibility. We are looking for a service minded doer with a strong ability to manage complexity.

Furthermore the following skills are required:

  • Good leadership ability; mature judgment, a high sense of initiative and the ability to plan, organize and review work of others;
  • Good knowledge of Accounting and Finance standards and experience in other administrative areas as well as a strong interest in and sensitivity to deal with personnel matters;
  • Excellent communication and interpersonal skills;
  • Fluency in spoken and written English and French are essential for this position; a working knowledge in German would be an asset;
  • Proficiency in using MS Office applications; knowledge of SAP would be an advantage;
  • Work experience in a comparable intergovernmental organisation and/or scientific environment is an asset;
  • Knowledge of EU research grants is essential.
